The Find & Replace feature allows you to change one or more occurrences of a word or phrase across your transcript in one action.
The Find & Replace tool is built into the Sonix transcript editor toolbar.
Step-by-Step Instructions
Open the transcript you want to edit in Sonix.
In the editor toolbar, click the magnifying glass icon to open the Find & Replace interface.
Alternatively, press CTRL + SHIFT + H to open Find & Replace directly.
In the Find field, enter the word or phrase you want to replace.
In the Replace field, enter the new word or phrase.
(Optional, for precise matches) Add spaces before and after the find/replace terms to avoid partial matches.
Example: Find " city " and replace with " town " to avoid “cityscape” → “townscape” issues.
Click Replace All to apply changes across the transcript.
Review the changes to make sure the replacements look correct in context.
The same steps above apply when using the strikethrough feature—just toggle ‘Strikethrough’ in the ‘Find and Replace’ pop-up window. If your transcript is longer than 10 minutes, ensure Pagination is disabled in ‘Preferences’ so the system can search the entire transcript for words to strikethrough.
Common Issues and Troubleshooting
When I replace a word, it also changes parts of other, longer words. Why is that happening?
This happens because the word you're replacing is part of other words. To avoid this, include spaces or use exact match options when searching (e.g., search for " word " instead of just "word").
The Find & Replace tool doesn’t seem to appear. Where is it?
Check your Sonix transcript toolbar for the magnifying glass icon. If you still don’t see it, make sure your browser is up to date or try reloading the page. It’s also possible the menu is hidden, so click the arrow down at the upper right corner of the editor or press Ctrl+Shift+F to show the menus.
I only want to replace one instance, not all. Is that possible?
The current Find & Replace feature in Sonix primarily supports 'Replace All.' If you only want to replace a single word, use Ctrl+F (Cmd+F on Mac) to access your browser’s search function and manually replace the word.
Frequently Asked Questions
Can I use Find & Replace for phrases (multiple words)?
Yes. Just type your entire phrase into the Find field and the replacement into the Replace field. It works for multi-word phrases too.
Will Find & Replace affect punctuation or sentence structure?
No, it only changes the text you specify. But after replacing, it’s a good idea to read through your transcript to ensure overall flow and punctuation remain correct.
Is Find & Replace case-sensitive?
It becomes case-sensitive if you toggle Match Case on. Otherwise, it will find and replace the word regardless of whether it's in uppercase or lowercase.
Can I undo changes made by Find & Replace?
Yes, you can use your editor’s undo function right after making replacements if something looks off. However, if you’re on the Standard plan, you can only undo one step. The extended undo feature is exclusive to Premium and Enterprise users.
