Important Notes
Sonix does not employ transcriptionists directly. The platform provides a marketplace where you can find third-party transcriptionists who work with Sonix.
Because these are independent professionals (or agencies), confidentiality is not automatically guaranteed. It’s recommended that you sign a separate confidentiality or non-disclosure agreement (NDA) with the transcriptionist you select.
If your content is highly sensitive (legal, medical, proprietary), you are responsible for ensuring the transcriptionist meets your confidentiality standards and that access controls are appropriate.
Step-by-Step Instructions
Select a transcriptionist via Sonix’s marketplace
Log in to Sonix and navigate to the Transcriptionist Directory section or follow this link.
Review credentials and experience of available transcriptionists.
Discuss confidentiality up front
Before sending files, ask the transcriptionist about their confidentiality practices.
Request a copy of their standard confidentiality agreement or propose your own.
Send your file securely
Upload your audio/video to Sonix, or provide access following your chosen workflow.
Share any required instructions (e.g., sensitive sections to be redacted, speaker names, etc.).
Monitor progress and access permissions
Make sure only authorized individuals (you or your team + the transcriptionist) can access the files.
Once transcription is complete, verify that no unintended individuals have access to your materials.
Delete or archive files appropriately
If you no longer need the transcriptionist to have access, revoke permissions.
Consider deleting or archiving the files securely within your Sonix account when finished.
Common Issues and Troubleshooting
Can Sonix remove a transcriptionist from the marketplace for confidentiality breaches?
Yes. If a transcriptionist violates confidentiality or fails to meet standards, Sonix may suspend or remove them from the platform. Provide any relevant evidence when reporting an incident.
What if I need to change transcriptionists midway through a project?
You can revoke the first transcriptionist’s access to your files, assign a new one, and share the file securely again. Always confirm that the new transcriptionist understands your confidentiality requirements.
How do I ensure my sensitive files (legal, medical, corporate) remain private?
To keep your sensitive files secure, choose transcriptionists with verified confidentiality experience—such as those trained in legal, medical, or corporate data handling. Share your files using secure methods like password-protected links or encrypted uploads. Once the transcription project is complete, you can change the file’s security settings by clicking the dropdown arrow beside the file name and selecting “Make Private.”
My transcriptionist is unresponsive or I’m unsure if they followed confidentiality practices.
Contact Sonix Support at [email protected] to report the issue. They can help review the transcriptionist’s record and guide you on next steps.
Frequently Asked Questions
Do I need to sign a confidentiality agreement every time I send a file?
Not necessarily. You might sign a master NDA once with a trusted transcriptionist covering all work. But you should ensure that the terms are clear and appropriate for each project’s sensitivity.
What if I use Sonix’s automated transcription and no human transcriptionist?
If you use only Sonix’s automated transcription (no human transcriptionist), then human access is eliminated, and confidentiality risks related to human review are minimized. Always check your sharing and storage settings regardless.
Where can I check how securely Sonix handles data in general?
You can review Sonix’s broader security and privacy policies via their Security Overview page.
